GST Refund Process

Here’s how we take your refund from eligibility to money in the bank.
Step 1 – Assess Eligibility
We review your business to identify every refund you qualify for export, inverted duty, excess tax and estimate the amount.
Step 2 – Ensure Returns Are Filed
All due GSTR-1 and GSTR-3B up to the refund period must be filed first; we confirm this so the claim isn't blocked.
Step 3 – Reconcile the Data
We match GSTR-1, GSTR-3B, shipping bills and BRC/FIRC so the figures are consistent and defensible.
Step 4 – Compute the Refund
We calculate the exact amount under the right rule - Rule 89(4) for exports under LUT, Rule 89(5) for inverted duty.
Step 5 – Prepare Documents & Statements
We compile the correct statements (2/3), declarations, undertakings and a CA certificate where the claim exceeds ₹2 lakh.
Step 6 – File RFD-01
We file a clean, invoice-based application in the correct category on the portal; an ARN is generated.
Step 7 – Acknowledgement (RFD-02)
For a complete application, the officer issues RFD-02 within 15 days, starting the processing clock.
Step 8 – Provisional Refund (RFD-04)
For eligible zero-rated and inverted-duty claims, 90% is sanctioned within 7 days of acknowledgement.
Step 9 – Respond to Any Deficiency (RFD-03)
If a deficiency memo is issued, we correct and re-file quickly to keep things moving.
Step 10 – Final Order (RFD-06) & Payment (RFD-05)
The officer sanctions the balance within 60 days and the refund is credited to your bank account.
Step 11 – Pursue Interest / Appeal If Needed
We claim 6% interest for delays beyond 60 days and file an APL-01 appeal against any wrong rejection.

GST Refund Services in Vasai Virar - Get Your Money Back

Exporting goods or services? Stuck with input tax credit you can’t use because your inputs are taxed higher than your output? Paid GST by mistake? That money is yours to reclaim and with the 2025 reforms, you can now get 90% of eligible refunds back within 7 days. Digital Vasai Tax provides expert GST refund services in Vasai Virar that file clean RFD-01 claims, survive scrutiny and turn locked-up tax into working capital in your bank account.
A GST refund is the return of tax you shouldn’t ultimately bear most commonly the tax on exports (which are zero-rated), the unutilised input tax credit that piles up under an inverted duty structure or GST paid in excess or by error. Under Section 54 of the CGST Act, businesses can claim refunds in around nine scenarios, filing Form RFD-01 on the GST portal. Done right, a refund is a straight injection of cash into your business. Done wrong, it becomes a frustrating cycle of deficiency memos (RFD-03), rejections (RFD-08) and months of delay or worse, a claim time-barred forever after the two-year limit.
The refund landscape improved sharply in 2025. A 90% provisional refund within 7 days, long available for exporters, was extended to inverted-duty-structure claims from October 2025. Filing moved to an invoice-based system, low-value export refunds were freed from old threshold limits and the portal validation tightened. But the flip side is that a single documentation error or wrong category selection still costs you weeks, which is why clean, first-time filing matters more than ever. We identify every refund you’re eligible for, compute it correctly under the right rule, file a clean RFD-01, handle any officer query, and track it to credit. This page explains GST refunds in full – the types, eligibility, documents, the RFD process and forms, timelines, the 2025 changes, common reasons for rejection and the questions Vasai-Virar businesses ask us. Read on or jump to the section you need.

What Is a GST Refund?

A GST refund is the reimbursement of tax that a registered business has paid but shouldn’t ultimately bear or of input tax credit it has accumulated but can’t use. Under Section 54 of the CGST Act, 2017, refunds arise in several situations – the biggest being exports (which are zero-rated, so the tax should not stick), an inverted duty structure (where GST on inputs is higher than on your output, leaving unusable credit) and excess tax paid by error or through the electronic cash ledger.
The idea is simple: GST is meant to be a tax on final consumption, not a cost that gets stuck on businesses. When it does get stuck because you exported or your inputs were taxed higher than your sales, the law lets you claim it back. For an exporter or a manufacturer under inverted duty, refunds aren’t a bonus; they’re essential working capital that would otherwise sit locked with the government. Reclaiming it promptly can transform your cash flow.

The main types of GST refund

Refund type When it arises Route
Export of goods (with IGST)
You paid IGST on exports
Automatic via shipping bill / ICEGATE
Export of goods/services (under LUT)

You paid IGST on service exports
RFD-01 with BRC/FIRC
Inverted duty structure
Input GST higher than output GST
Refund of accumulated ITC via RFD-01 (Rule 89(5))
SEZ supplies
Supply to an SEZ unit/developer
RFD-01 with SEZ endorsements
Deemed exports
Supply to EOU/notified categories
RFD-01 with declarations
Excess tax paid
Tax paid by mistake or in excess

Excess electronic cash ledger
Surplus balance in cash ledger
RFD-01 (often faster)

Why claiming refunds matters for a Vasai-Virar business

For exporters and inverted-duty manufacturers in the Vasai-Virar and wider MMR belt, refunds can be a large share of working capital. Unclaimed or delayed refunds mean cash locked with the government instead of funding your stock, salaries and growth. A significant amount of refund entitlement across India goes unclaimed every year purely due to unawareness, documentation errors or missed deadlines. Claiming what you’re owed correctly and on time is one of the most direct ways to strengthen your cash position.

Who Can Claim a GST Refund?

You may be eligible for a GST refund if you are:

Exporters of Goods

Claim refunds under the IGST route or LUT route.

Exporters of Services

Receiving payment in convertible foreign exchange, via IGST or LUT route.

Inverted Duty Businesses

Where your input GST rate exceeds your output rate

Deemed Export Suppliers

Supplying to EOUs or other notified categories.

Excess GST Payments

By error, wrong head (CGST/SGST vs IGST) or provisional assessment.

Court Order Refunds

An appellate or court order reducing your liability.

What's New in GST Refunds (2025)

The refund system saw major, taxpayer-friendly reforms in 2025. These are the changes we build into your claim.

90% provisional refund extended to inverted duty

The 90%-within-7-days provisional refund, long available for exporters, was extended to inverted-duty-structure claims from October 2025 (CGST Instruction 6/2025). For IDS-affected manufacturers, this turns a months-long wait into a 7-day working-capital release for most claims.

Faster provisional orders (7 days)

Under the 2025 amendment rules, the provisional refund order (RFD-04) for eligible taxpayers must be issued within 7 days of acknowledgement, with the balance after full verification. High-risk cases may skip provisional refund and go straight to scrutiny another reason clean filing matters.

Invoice-based filing

Refund filing moved from tax-period-wise to invoice-based for key categories. You no longer select a tax period; you select the category and upload invoice-level data. Uploaded invoices are locked to that claim, so accuracy at submission is critical, which is exactly where careful preparation pays off.

Relief for low-value export refunds

The old threshold that blocked very small refunds was amended in favour of exporters and faster processing was approved for small exporters shipping via courier or post. More exporters can now claim what they're owed without value barriers.

25 Reasons GST Refunds Get Delayed or Rejected

Most refund problems come from avoidable errors. We prevent every one of these.
Reasons Description
Wrong refund category
Selecting the incorrect category leads to outright rejection.
Incomplete documentation
Missing statements or proofs trigger a deficiency memo (RFD-03).
Returns not filed
Refunds won’t proceed until all GSTR-1 and GSTR-3B are filed.
GSTR-1 vs 3B mismatch
Inconsistent figures stall or reject the claim.
Wrong bank / IFSC details
Incorrect account blocks the refund payment.
Missing the 2-year limit
Late claims are barred by limitation permanently.
Incorrect refund computation
Wrong Rule 89(4)/89(5) math invites rejection.
Claiming ITC on input services (IDS)
Rule 89(5) allows only input goods, not services.
No shipping bill / EGM link
Goods-export refunds fail without ICEGATE match.
Missing BRC/FIRC
Service-export refunds need foreign-exchange proof.
No CA certificate above ₹2 lakh
Required certification omitted.
Table 6A of GSTR-1 not filled
IGST goods-export refund doesn’t auto-process.
Invoice data errors
Locked invoice errors that can’t be edited after submission.
Claiming blocked/ineligible ITC
Section 17(5) credit wrongly included.
Ignoring deficiency memos
Not re-filing after RFD-03 stalls the claim.
Not responding to RFD-08
Failing to reply leads to rejection.
Wrong relevant date
Miscalculating the start point of the 2-year window.
Duplicate refund of same ITC
Claiming the same credit twice draws scrutiny.
Unreconciled exports
Portal and ICEGATE data not matching.
Mixing periods incorrectly
Errors in clubbing periods for a claim.
No unjust-enrichment declaration
Required declaration omitted where applicable.
Over-claiming refund
Claiming more than the formula allows, inviting reversal.
Poor record-keeping
No documents to defend the claim under scrutiny.
DIY without refund experience
Errors an experienced filer would catch.
Not tracking the ARN
Missing officer queries and letting the clock run out.

How We've Helped - Representative Examples

1. A Tarapur exporter with ITC piling up

Problem:

A goods exporter under LUT had large unutilised ITC building up and cash-flow strain, but hadn’t been filing refund claims.

Solution:

We reconciled exports with shipping bills, computed the refund under Rule 89(4), filed a clean RFD-01 and structured it for the 90% provisional refund.

Outcome:

90% of the claim credited within about a week, freeing significant working capital, with the balance after verification.

2. A Vasai textile unit under inverted duty

Problem:

A textile manufacturer’s inputs were taxed at 12% but output at 5%, leaving accumulated ITC and a previous claim had been rejected over a wrong Rule 89(5) calculation.

Solution:

We recomputed the refund correctly (input goods only), prepared the right statements and re-filed a clean claim.

Outcome:

The claim was approved, recovering credit the business had nearly written off, now with the new 90% provisional benefit for inverted duty.

3. A Nalasopara business that overpaid GST

Problem:

A business had paid CGST/SGST instead of IGST on some transactions and had surplus in its cash ledger.

Solution:

We filed the excess-tax and cash-ledger refund claims with correct documentation and tracked them to sanction.

Outcome:

The overpaid tax and surplus balance were refunded to the business’s bank account.

FAQs

What is a GST refund?

A GST refund is the return of tax you shouldn’t ultimately bear or of input tax credit you’ve accumulated but can’t use. Under Section 54 of the CGST Act, refunds arise in several situations most commonly exports (which are zero-rated), an inverted duty structure (inputs taxed higher than output) and excess tax paid by error or sitting in your cash ledger. You claim it by filing Form RFD-01 on the GST portal. We assess your eligibility and file clean claims for businesses across Vasai-Virar.

What does your GST refund service include?

We take your refund from eligibility to money in the bank. We assess which refunds you qualify for and estimate the amount, confirm your returns are filed, reconcile your GSTR-1, GSTR-3B, shipping bills and BRC/FIRC and compute the refund under the correct rule. We prepare the right statements and declarations (plus a CA certificate above ₹2 lakh), file a clean RFD-01, respond to any deficiency memo or notice and track the claim to sanction. We also pursue interest for delays and appeal wrongly rejected claims.

Who can claim a GST refund?

Exporters of goods or services, businesses under an inverted duty structure, suppliers to SEZs, deemed exporters and anyone who has paid excess GST or has a surplus in their electronic cash ledger. A court or appellate order reducing your liability can also generate a refund. A key condition is that all your due GSTR-1 and GSTR-3B returns up to the refund period must be filed and the claim must be within two years of the relevant date. We check exactly which refunds you qualify for and what you can recover.

How do I know if I'm sitting on a refund I haven't claimed?

Many businesses are, without realising it. A significant amount of refund entitlement across India goes unclaimed every year purely due to unawareness, documentation errors or missed deadlines. If you export, if your inputs are taxed higher than your output (inverted duty), if you’ve paid GST by error or in the wrong head or if you have a surplus in your cash ledger, there’s likely a refund waiting. Share your data and we’ll assess your position and estimate what you can recover, before you commit to anything.

Why use a professional instead of filing the refund myself?

Because a refund only helps if you actually get it quickly and in full. A single wrong category, a missing document or an incorrect computation triggers a deficiency memo (RFD-03) that resets the clock and costs weeks or an outright rejection. We file clean, first-time RFD-01 claims that survive scrutiny: correct category, correct Rule 89(4)/89(5) computation, reconciled data, the right statements and CA certification where needed. We handle every RFD form, chase the deadlines and turn locked-up tax into working capital far faster than DIY filing.

How does a GST refund help my cash flow?

For exporters and inverted-duty manufacturers, refunds can be a large share of working capital cash that would otherwise sit locked with the government instead of funding your stock, salaries and growth. Reclaiming it promptly can transform your cash position. With the 2025 reforms, you can now get 90% of eligible export and inverted-duty claims back within 7 days, turning a months-long wait into a fast working-capital release. Claiming what you’re owed correctly and on time is one of the most direct ways to strengthen your finances.

Which types of GST refund can you handle?

All the main ones: exports of goods (IGST route via shipping bill/ICEGATE or LUT route as a refund of unutilised ITC), exports of services (with BRC/FIRC), inverted duty structure claims (Rule 89(5)), SEZ supplies, deemed exports, excess tax paid by error or wrong head and surplus in your electronic cash ledger. We identify every category you’re eligible under businesses often qualify for more than one and file each correctly so nothing recoverable is left behind.ers and inverted-duty manufacturers, refunds can be a large share of working capital cash that would otherwise sit locked with the government instead of funding your stock, salaries and growth.

What does professional handling actually protect me from?

The costly, avoidable outcomes: a wrong category that gets the claim rejected outright, incomplete documentation that triggers a deficiency memo and weeks of delay, a miscomputed Rule 89(4)/89(5) figure that invites rejection, a missed two-year deadline that bars the claim forever and wrong bank details that block the payment. Clean, first-time filing avoids the RFD-03 cycle, survives officer scrutiny and shortens the whole process. We also pursue the interest you’re owed and appeal a wrongful rejection.

Can you help me get the fast 90% provisional refund?

Yes structuring eligible claims to qualify for it is part of the service. For eligible zero-rated (export/SEZ) and, since October 2025, inverted-duty claims, the officer sanctions 90% provisionally within 7 days of acknowledgement, with the balance after verification. We prepare and file cleanly so your claim qualifies for this fast release rather than being flagged as high-risk and sent straight to scrutiny which is what happens to poorly filed claims.

Do you also pursue the interest the department owes me?

Yes. Under Section 56 of the CGST Act, if your refund isn’t processed within 60 days of a complete application, you’re entitled to interest at 6% per annum on the delayed amount (9% for certain appellate or court orders). This interest often has to be actively pursued rather than paid automatically. We make sure your application is complete so the clock starts correctly and we claim the interest you’re owed if the department delays beyond the statutory period.

What is an inverted duty structure refund?

An inverted duty structure arises when the GST on your inputs is higher than on your output common in textiles, footwear, fertilisers and EVs leaving unutilised input tax credit accumulating that you can’t offset. Under Section 54(3), you can claim a refund of that accumulated ITC using the Rule 89(5) formula, which considers input goods only (not input services or capital goods). Since October 2025 these claims also get the 90% provisional refund. We compute and file them correctly, a frequent source of past rejections when done wrong.

Why do inverted-duty claims get rejected so often?

Usually because of a wrong Rule 89(5) computation most commonly including input services or capital goods in the formula, when the rule allows only input goods. That single error is enough to get an otherwise-genuine claim rejected. We’ve re-filed claims that were previously rejected on exactly this basis, recomputing correctly (input goods only) and recovering credit the business had nearly written off. Getting the formula right the first time is what makes these claims succeed.

How do exporters claim GST refunds?

There are two routes. Under the IGST route, you pay IGST on exports and claim it back for goods this is automatic via the shipping bill through ICEGATE (no separate RFD-01); for services, via RFD-01 with BRC/FIRC. Under the LUT route, you file a Letter of Undertaking and export without paying IGST, then claim a refund of unutilised ITC via RFD-01 (Rule 89(4)). The LUT route avoids upfront cash outflow and is popular with service exporters. We handle both and advise which suits you.

Can service exporters and IT firms claim refunds?

Yes. Service exporters and IT/software firms typically export under an LUT (zero-rated), which leaves them with unutilised input tax credit they can reclaim via RFD-01 under Rule 89(4). The key proof is the BRC/FIRC showing receipt of payment in convertible foreign exchange. We reconcile the export data, compute the ITC refund and file it cleanly, so the credit that would otherwise sit stuck becomes cash, a meaningful, recurring cash-flow benefit for high-value service exporters.

Can I claim a refund of excess tax I paid by mistake?

Yes. If you’ve paid GST in excess, paid under the wrong head (for example CGST/SGST instead of IGST) or have a surplus balance sitting in your electronic cash ledger, those amounts are refundable through RFD-01 the cash-ledger refund is often among the faster ones. We’ve filed exactly these claims for businesses that overpaid or misapplied tax, with correct documentation and tracked them to credit in the bank. If you think you’ve overpaid, it’s worth checking.

What is a deemed export and can I claim a refund on it?

Deemed exports are supplies to notified categories such as EOUs (Export Oriented Units) the goods don’t leave India, but the supply is treated specially and a refund can be claimed via RFD-01 with the appropriate declarations. It’s distinct from a physical export or an SEZ supply. If you supply to EOUs or other notified recipients, we assess whether your supplies qualify as deemed exports and file the refund with the correct declarations and documentation.

Can I claim a refund on supplies to an SEZ?

Yes. Supplies to SEZ units and developers are zero-rated, and you can claim a refund via RFD-01 supported by the SEZ officer’s endorsements confirming receipt. The endorsement is the critical proof for these claims. We reconcile your SEZ supplies, gather the endorsed documents and file the claim in the correct category so a common documentation gap doesn’t stall a refund you’re genuinely entitled to.

What are all the RFD forms I'll see during the process?

The refund runs through a series of RFD forms, so the status is never a mystery. RFD-01 is your application; RFD-02 is the acknowledgement; RFD-03 is a deficiency memo (errors to fix); RFD-04 is the 90% provisional order; RFD-05 is the payment advice to your bank; RFD-06 is the final sanction; RFD-07 is a withholding/adjustment order; RFD-08 is a show-cause/rejection notice with RFD-09 your reply and RFD-11 is the LUT. We manage all of them and explain each step as it happens.

What is a deficiency memo (RFD-03) and how do you avoid it?

A deficiency memo is issued when your application has documentary or data errors. It requires you to correct them and re-file a fresh application and crucially, it resets the 60-day processing clock, costing you weeks. This is exactly why clean, complete first-time filing matters so much. We prepare applications carefully right category, reconciled data, complete statements to avoid deficiency memos and if one is ever issued, we correct and re-file quickly to keep things moving.

What is RFD-02 and why does it matter?

RFD-02 is the acknowledgement the officer issues within 15 days for a complete application and it’s important because it starts the processing clock. The 7-day provisional-refund window and the 60-day final-sanction window both run from this acknowledgement. That’s why a complete, clean application matters: it earns a prompt RFD-02 and starts your timelines, whereas a deficient one gets an RFD-03 instead and delays everything. We file complete applications precisely to trigger a fast acknowledgement.

What is the difference between the provisional (RFD-04) and final (RFD-06) refund?

For eligible claims, RFD-04 is the provisional order sanctioning 90% of your refund within 7 days of acknowledgement a fast working-capital release. RFD-06 is the final sanction order, generally within 60 days of a complete application, releasing the remaining balance after full verification. So most of your money can arrive quickly under RFD-04, with the rest following on final verification. We structure eligible claims to capture the fast 90% and then track the balance to RFD-06.

How long does a GST refund take?
For eligible zero-rated (export/SEZ) and since October 2025 , inverted-duty claims, 90% is sanctioned provisionally within 7 days of the acknowledgement (RFD-02), with the balance after verification. The final order (RFD-06) is generally issued within 60 days of a complete application. Delays beyond 60 days entitle you to interest. Clean, first-time filing is the key to hitting these timelines, a deficiency memo resets the clock and costs weeks, which is exactly what careful preparation prevents.
What is the "relevant date" and why does it matter?

The relevant date is the starting point for your two-year filing window and it varies by refund type for goods exports it’s usually the shipping-bill date, for service exports the invoice or payment date, for excess tax the date of payment. Miscalculating it is a common mistake that can make you think you have more time than you do, causing a claim to be filed late and barred. We identify the correct relevant date for each of your claims so the deadline is calculated accurately.

What is the time limit to claim a GST refund?

You must file within two years from the ‘relevant date’, which varies by refund type for exports it’s typically the shipping-bill or invoice date, for excess tax it’s the date of payment and so on. This two-year limit is absolute: miss it and the refund is barred by limitation and lost permanently. Because a large amount of refund goes unclaimed every year purely due to missed deadlines, we track your relevant dates so nothing lapses.

What's the difference between the IGST route and the LUT route?

Both achieve zero-rating, but the cash impact differs. Under the IGST route you pay IGST on each export and claim it back for goods, it’s processed automatically through the shipping bill and ICEGATE. Under the LUT route you export without paying IGST at all, then separately claim a refund of the unutilised ITC that accumulates. The LUT route avoids tying up cash upfront, which is why service exporters usually prefer it. We advise on the better route for your situation and handle the filing.

Can I get interest if my refund is delayed?
Under Section 56 of the CGST Act, if the refund isn’t processed within 60 days of a complete application, you’re entitled to interest at 6% per annum on the delayed amount (9% in the case of certain appellate or court orders). We make sure your application is complete so the clock starts correctly and we pursue the interest you’re owed if the department delays beyond the statutory period it often has to be actively claimed rather than paid automatically.
What documents are needed for a GST refund?
It depends on the type. Common documents include Form RFD-01 with the relevant statements, filed GSTR-1 and GSTR-3B, export invoices, shipping bill and EGM (for goods), BRC/FIRC (for services), the LUT (RFD-11) for LUT-route exports, ITC/purchase details for computation, SEZ endorsements for SEZ supplies and a CA certificate for claims above ₹2 lakh plus validated bank details. We prepare and check every document so your application is complete the first time and avoids a deficiency memo.
When is a CA certificate required?

A Chartered Accountant certificate is required for refund claims above ₹2 lakh, to certify the refund amount and address unjust enrichment. It’s arranged through our associated CA and charged separately from the filing fee. For claims at or below that threshold, a self-declaration is generally sufficient. We’ll tell you upfront whether your claim needs certification and handle the CA coordination so it’s ready when the application is filed never a last-minute holdup.

Do I need to file my returns before claiming a refund?

Yes. All your due returns GSTR-1 and GSTR-3B up to the period of the refund claim must be filed before the application will proceed; the portal validates this. Filing a refund with pending returns simply won’t work. Because we also handle GST returns, we ensure everything is current and reconciled before filing your refund, so there’s no avoidable blockage and the claim starts cleanly.

What records should I keep for refund claims?

Keep your export invoices, shipping bills and EGMs, BRC/FIRC, LUT, purchase and ITC records, filed returns, the RFD-01 and its statements and all correspondence with the department. These are essential to support the claim under scrutiny and to defend it in any appeal. We maintain an organised archive of your refund applications and supporting documents, so every claim is fully backed and traceable whenever the department asks.

Do you need my GST portal access and is it secure?

Yes. Refunds are filed on the GST portal (and goods exports flow through ICEGATE), so we need secure access to file RFD-01, track the ARN and respond to any query. Your login and OTP are kept confidential and used solely to handle your refund. We file on the official portal, save every acknowledgement and maintain an organised, defensible case file handling your access and data responsibly is central to how we work.

What changed for GST refunds in 2025?

The refund system saw major, taxpayer-friendly reforms and we build each into your claim. The 90% provisional refund within 7 days long available for exporters was extended to inverted-duty claims from October 2025. Filing moved to an invoice-based system for key categories. Low-value export refunds were freed from old threshold limits, with faster processing for small exporters shipping by courier or post. Portal validation also tightened, so a single error still costs weeks which is why clean, first-time filing matters more than ever.

What is invoice-based refund filing?

Refund filing moved from tax-period-wise to invoice-based for key categories. Instead of selecting a tax period, you select the refund category and upload invoice-level data. Critically, the uploaded invoices are locked to that claim you can’t edit them after submission so accuracy at the point of filing is essential. This is exactly where careful preparation pays off. We reconcile and verify the invoice data before submission, so nothing wrong gets locked into your claim.

Are small refunds worth claiming now?

Often, yes more so after 2025. The reforms specifically amended the old threshold that used to block very small refunds and approved faster processing for small exporters shipping via courier or post, so more businesses can now claim what they’re owed without value barriers. Small amounts also add up across periods. We’ll assess your position honestly: if a claim is worth pursuing we’ll file it cleanly and if a genuine one-off cost outweighs the recovery, we’ll tell you.

What does "high-risk claims may skip provisional refund" mean for me?

Under the 2025 rules, the 90% provisional refund is for eligible, clean claims but a claim flagged as high-risk can skip the provisional stage and go straight to full scrutiny, delaying your money. What pushes a claim into the high-risk lane is often exactly the kind of error clean filing avoids: wrong category, mismatched data, weak documentation. Filing accurately the first time is what keeps your claim in the fast lane rather than the scrutiny queue.

What happens if my refund is rejected?

If the officer questions the claim, you receive a show-cause notice (RFD-08), to which you reply in RFD-09. If it’s rejected, you can file a first appeal online in Form APL-01 within three months of the rejection order, with the grounds of appeal and any required pre-deposit. Many rejections stem from fixable issues wrong category, missing documents or computation errors. We respond to notices and pursue appeals to recover wrongly rejected refunds, so a rejection is rarely the end of the road.

Is a rejected refund final?

No. A rejection can be appealed you file a first appeal in Form APL-01 within three months of the rejection order. Many refund rejections rest on documentation objections or computation errors that can be answered on appeal, reopening the path to the refund. We’ve reconstructed rejected refund files, addressed each rejection ground and appealed successfully. So don’t treat a rejection as the end; it’s often a fixable objection, provided you act within the appeal window.

What is an RFD-08 and how do you respond?

RFD-08 is a show-cause/rejection notice the department questioning your claim before deciding it. You must reply in RFD-09, within the given time, with the explanation and supporting documents that answer each objection. Failing to respond leads to rejection. We draft and file a documented RFD-09 that addresses exactly what was questioned, giving your claim its best chance of being sanctioned rather than rejected. Ignoring an RFD-08 is one of the most damaging refund mistakes.

My exports aren't matching between the portal and ICEGATE can you fix that?

Yes. For goods-export refunds under the IGST route, your shipping-bill and EGM data on ICEGATE must match your GST return data (including Table 6A of GSTR-1) for the refund to auto-process and unreconciled exports are a common reason these claims stall. We reconcile your GST and ICEGATE data, correct the mismatch and make sure the shipping bill, EGM and returns line up, so the automatic refund actually flows instead of getting stuck.

How much do GST refund services cost?

There’s no government fee to file a refund. You pay our professional fee, which depends on the refund type, value and invoice volume inverted-duty computations are more involved than a simple excess-tax claim. A CA certificate (via our associated CA) is needed for claims above ₹2 lakh and is charged separately. Our refund service fees start from. We assess your eligibility and quote transparently before starting and for most claims the refund recovered far exceeds the fee.

Why does the fee vary between refund types?

Because the work varies. A simple excess-tax or cash-ledger refund is relatively straightforward, while an inverted-duty claim requires a careful Rule 89(5) computation and an export refund involves reconciling shipping bills, BRC/FIRC and ICEGATE data. Higher-value claims also need CA certification above ₹2 lakh. We price to the actual complexity and volume, disclose it upfront and because the refund recovered usually far exceeds the fee it’s typically a high-return spend regardless of type.

Can I see the potential recovery before I commit?

Yes that’s how we start. Share your export, purchase and return data and we’ll assess which refunds you qualify for and estimate the amount before you commit to anything. If there’s a genuine, worthwhile claim, you’ll see the potential recovery and the likely timeline first; if there isn’t, we’ll tell you honestly rather than filing for the sake of it. For most eligible businesses, what’s recoverable comfortably outweighs the fee.

I run a textile / footwear / EV business under inverted duty can you help?

Yes these are classic inverted-duty sectors where inputs are taxed higher than output, leaving accumulated ITC stuck. We recompute the refund correctly under Rule 89(5) (input goods only, which is where many DIY and past claims go wrong), prepare the right statements and file a clean claim. With the October 2025 extension, these claims now also qualify for the 90% provisional refund within 7 days, so credit you may have nearly written off can come back as working capital quickly.

Can e-commerce sellers claim GST refunds?

Yes, in the right situations for example, excess tax paid, surplus in the electronic cash ledger or export-linked supplies. Online sellers should also reconcile their marketplace and TCS data, which can reveal refundable amounts that otherwise go unnoticed. We assess an online seller’s position across these categories, identify what’s genuinely recoverable and file the appropriate claims coordinating with the reconciliation of your platform data so nothing is missed.

Do you handle refunds for manufacturers and EOU suppliers?

Yes. Manufacturers under an inverted duty structure claim accumulated ITC under Rule 89(5), while those supplying EOUs or other notified categories may have deemed-export refunds filed with the appropriate declarations. Input-heavy manufacturers often have significant refundable credit sitting idle. We identify which route applies to your supplies inverted duty, deemed export or export under LUT and file each in the correct category so the credit is recovered rather than stuck.

Which areas do you serve for GST refunds?

We’re a local Vasai-Virar practice serving exporters and manufacturers across Vasai, Virar, Nalasopara and the wider Palghar and Tarapur belt in Maharashtra. Being local and reachable means you can call or meet us at our office on Mahatma Gandhi Road, near T.B. College, to walk through a claim in person. The refund filing itself happens on the national portal, so you get both a nearby point of contact and full online handling of the process.

Can a business outside Vasai-Virar use your service?

Yes. GST refunds are filed on the national GST portal (and ICEGATE for goods exports), so we can assess, file and track claims for businesses across the Vasai-Virar and Palghar region, the wider Mumbai Metropolitan Region and beyond fully online. You share your export, purchase and return data digitally and we handle computation, RFD-01 filing, deficiency memos and follow-up remotely. Location makes no difference to how cleanly your claim is filed or tracked.

How will I know the status of my refund?

We track your ARN daily on the portal and keep you updated at each stage acknowledgement, provisional sanction, any deficiency memo and final payment. Because we explain the RFD form series up front, you always understand what each status means rather than being left guessing. You’re supported by a team that replies quickly on call and WhatsApp, so if an officer raises a query, you hear about it and we act on it promptly.

Why should I trust Digital Vasai Tax with my refund claim?

Because the refund actually lands cleanly, quickly and in full and because we chase every rupee and every deadline. We file clean first-time claims, compute correctly under the right rule, structure eligible claims for the fast 90% provisional refund, reconcile before filing, arrange CA certification where needed, and stand behind our claims if a query or notice arises. We’re a local Vasai-Virar practice handling GST end to end, so refunds sit alongside returns, reconciliation, LUT and notices.

Why do refund claims get delayed or rejected most often?

Almost always because of avoidable errors: wrong refund category, incomplete documentation, returns not filed, GSTR-1 vs 3B mismatches, wrong bank details, incorrect Rule 89(4)/89(5) computation, claiming ITC on input services in an inverted-duty claim, a missing shipping-bill/ICEGATE link or BRC/FIRC, no CA certificate above ₹2 lakh, Table 6A of GSTR-1 not filled for IGST goods exports or simply missing the two-year limit. Under invoice-based filing, submission errors also can’t be edited. We prevent each of these before filing.
